Create a Pending Request

Goal: Submit a request for an item you need on board so it can be reviewed, consolidated, and moved into procurement.

Pending Request -> Purchase Request -> Quotes -> Order -> Delivery

A pending request is the first step in the purchasing flow. Use it when an item is needed but procurement has not yet reviewed or grouped the request.

Before you start

  • You must have permission to create pending requests.
  • The item should already exist in the inventory catalogue.
  • Check current stock before requesting more, especially for items that may already be available in another storage location.

Steps

### Open Pending Requests

Open Stock & Supply, go to Procurement, and open the pending requests list.

Create a new request

Select the action to create a new pending request.

Choose the request type

Select whether the request is personal, departmental, or vessel-wide.

If the request is for a department, select the department before saving.

Select the item and quantity

Choose the item from the inventory catalogue and enter the quantity needed.

Add context

Add notes when the request is urgent, linked to a task, or needs special handling.

Save the request

Review the details, then save the pending request.

Result

The pending request appears in the procurement area with its current status. The person managing procurement can review it and include it in a purchase request when appropriate.
