Handle Guest Data Privacy

Goal: Handle guest personal, preference, and medical information carefully.

Why guest data needs care

Guest profiles can contain passport information, contact details, documents, boarding plans, service preferences, dietary notes, medical information, and private visit details.

This information helps the crew deliver a safe and personalised experience, but it should only be viewed, shared, or edited when needed for your role.

Sensitive areas

Pay special attention to:

  • Passport and identification information.
  • Addresses, phone numbers, and email addresses.
  • Guest contacts.
  • Medical notes, allergies, and special medical conditions.
  • Uploaded files.
  • Guest preferences and service notes.
  • Boarding, trip, and visit dates.
Do not copy sensitive guest information into chat messages, emails, or screenshots unless your internal process allows it.

Why access differs between users

Different users may see different sections, fields, or actions because their profiles allow different levels of access.

For example, a user may be able to see general guest details but not medical notes, attachments, or private preference information.

This is expected behavior.

Good practice

  • Record only information that is needed for the visit.
  • Keep medical information in the Medical tab.
  • Keep service details in the appropriate preference areas.
  • Attach documents to the correct guest.
  • Avoid unnecessary private notes.
  • Ask an administrator before requesting access to sensitive information.
