Close a Charter

Goal: Mark a charter as complete after guests, itinerary, contract, and APA information have been reviewed.

Closing a charter is the final step in the charter workflow. Complete operational and financial checks first so the record remains useful for review and reporting.

Before you start

  • The charter booking must already exist.
  • Guest information and itinerary details should be reviewed.
  • Contract information should be complete according to your process.
  • APA expenses should be recorded and reconciled if the charter uses APA.
  • You must have permission to close or finalise charter records.

Steps

### Open the charter booking

Open the charter from the Charter list.

Review guests and itinerary

Check that the guest list and itinerary reflect the final trip information.

Review contract information

Confirm that contract details and documents are complete according to your internal process.

Review APA

If APA was used, confirm that expenses have been recorded and reconciliation has been completed.

Close the charter

Use the close or finalise action available on the charter record.

Confirm the action

Read the confirmation message carefully and confirm only when the charter is ready to be closed.

If the charter is not ready

Do not close the charter if:

  • Guests are missing or incorrect.
  • The itinerary still needs to be corrected.
  • Contract information is incomplete.
  • APA expenses are still being entered or reconciled.
  • Your internal review has not been completed.
A closed charter may become harder to edit depending on your access and workflow. Confirm your internal process before closing records.

Result

The charter is marked as closed or complete. It remains available for review and reporting according to the access available to your profile.
