Add Guests to a Charter

Goal: Link guest profiles to a charter so the crew can prepare boarding, service notes, documents, and APA planning around the correct people.

Before you start

  • A charter booking must already exist.
  • Confirm that the correct yacht is selected.
  • Guest profiles should already exist, or you must be able to create them.
  • Prepare the expected guest list and any lead guest or party information used by your process.

Add existing guests

### Open the charter booking

Open the charter from the Charter list.

Open the guest area

Go to the section used to manage guests for the charter.

Add a guest

Click Add Guest or the equivalent action.

Select the guest profile

Choose the guest from the available guest records.

Save the change

Save and confirm that the guest appears in the charter guest list.

Create a missing guest first

If the guest is not available in the selection list, create the guest profile first, then return to the charter and add the guest.

Keep guest profile information accurate before the charter starts. Passport details, contacts, medical notes, documents, and preferences may be used by different teams during preparation.

Check boarding details

Adding a guest to a charter does not replace operational boarding checks. If the yacht also tracks guest boarding schedules, review the boarding guide and confirm the dates and ports are correct.

If a guest appears on the charter but not in an operational boarding or on-trip view, check the Guest Boarding area and add or update the boarding schedule there.

Result

The selected guest profiles are connected to the charter and can be reviewed as part of the charter preparation.
