Record Hours of Rest

Goal: Record work and rest periods, review warnings, and understand when entries can be approved or changed.

Before you start

  • You must have access to Work & Rest Hours.
  • If you are recording your own hours, your user account must be linked to your crew member profile.
  • If you are managing hours for other crew members, your profile must include permission to review or approve crew attendance.
  • You can only record or edit dates allowed by the system.

Choose the correct view

Work & Rest Hours has two main views:

  • My Work: use this to record or review your own work and rest entries.
  • Managed: use this to review crew entries, warnings, and approvals when you are responsible for managing crew hours.
If you only see one view, your profile may only allow that part of Work & Rest Hours.

Record your own hours

### Open My Work

From Crew, open Work & Rest Hours and select My Work.

Select the date

Use the calendar to select the day you need to record.

Add a new entry

Click New to add a work or rest entry, or use New Shift if you need to apply a standard shift.

Enter the times

Add the start time, end time, and any break information requested by the form.

If the shift continues after midnight, use the option that marks the end time as belonging to the next day.

Save the entry

Save the entry and check whether any warning appears.

Review warnings

The calendar and crew summary can show warnings or non-conformities when work and rest rules are not met.

Open the warning list to see the affected dates. Then review the entries for those days and correct the data if the warning is caused by an incorrect time.

A warning does not always mean the entry is wrong. It means the recorded hours should be checked against the applicable rest rules.

Approve or unapprove crew hours

If you manage crew hours, open the Managed view.

Use the scheduler to select crew members or date ranges, then approve or unapprove selected entries when the approval actions are available.

Result

Work and rest entries are recorded for the selected dates. You can review warnings, correct entries when needed, and approve or unapprove records if your role allows it.
