Manage Crew Certificates

Goal: Track crew certificates, identify expired or expiring certificates, upload supporting files, and review certificate renewals.

Before you start

  • The crew member must already exist.
  • You must have access to crew certificates.
  • Prepare the certificate type, certificate number, issue date, expiry date, and any file you need to attach.
  • Confirm that the correct yacht is selected.

Open crew certificates

### Open the certificate list

From the main navigation, open Crew and select Certificates.

Choose the view you need

Use the quick filter to show all certificates, expiring certificates, or expired certificates.

Open a certificate

Click a certificate row to open the certificate detail page.

Add a certificate

### Click New

From the Crew Certificates list, click New.

Select the certificate holder

Choose the crew member who holds the certificate.

Select the certificate type

Choose the certificate type or template required by your process.

Add certificate details

Enter the certificate number, issue date, expiry date, renewal information, and notes where needed.

Upload documents

Attach the scanned certificate or supporting file if available.

Save the certificate

Save the certificate and wait for the confirmation message.

Review or renew a certificate

When a certificate needs to be renewed, open the certificate and use the review action if it is available.

During review, add the new certificate number, new issue date, new expiry date, and any updated file. The previous certificate remains part of the certificate history so the renewal trail can be reviewed later.

If the review action is not visible, you may not have permission to renew certificates, or the certificate may not support review from your current view.

Use certificate history and files

The certificate detail page can include:

  • Files: uploaded certificate scans or supporting documents.
  • History: previous versions of the same certificate after reviews or renewals.

Use the files section to open or upload attachments. Use the history section when you need to check earlier certificate versions.

Result

Crew certificates are tracked with the correct holder, certificate details, expiry information, attachments, and renewal history. You can quickly identify which certificates require attention.
