Manage Crew User Access
Goal: Understand the difference between a crew member profile and a user account, and know where to review or link access information.
Before you start
- The crew member must already exist if you are linking access to an existing crew profile.
- You must have permission to manage crew records and user access.
- Confirm which yacht and modules the crew member should be able to use.
Crew profile vs user account
A crew member profile is the operational record for a person. It can contain personal details, passport information, contracts, documents, certificates, contacts, and medical notes.
A user account is what allows someone to sign in to IN-YACHT.
A crew member can exist without a user account. This is useful when the person must be tracked operationally but does not need to log in.
Review user details on a crew profile
From Crew Members, open the crew member profile.
Find user details
Review the user details area on the profile.
Check linked access
Confirm whether the crew member is linked to an existing user or whether user access still needs to be created.

When to create or link a user account
Create or link user access when the crew member needs to:
- Sign in to IN-YACHT.
- Record their own Work & Rest Hours.
- Review their own crew profile information.
- Receive notifications or reminders.
- Perform module actions according to their role.
Do not create user access only because a crew record exists. Some crew records are kept for operational tracking without login access.
Result
You can distinguish crew records from user accounts and know where to check whether a crew member can sign in.
