Manage a Charter Contract

Goal: Record and maintain the contract information connected to a charter booking.

Contract information is usually managed after the main booking exists and before the charter is closed. Keep it aligned with the signed agreement and your internal commercial process.

Before you start

  • A charter booking must already exist.
  • Prepare the signed contract or the latest contract details available to your team.
  • You must have permission to view or edit charter contract information.

Steps

### Open the charter booking

Open the charter from the Charter list.

Open the contract area

Go to the section used to manage contract information.

Review existing details

Check whether contract information has already been entered.

Enter or update contract information

Complete the contract details required by your process, such as reference information, dates, parties, commercial notes, or status notes.

Attach contract files if needed

Upload supporting files in the contract document area if your process uses file attachments.

Save the changes

Save and confirm that the contract information is visible on the charter record.

Keep contract and APA separate

The contract explains the commercial agreement. APA records track advance provisioning funds and expenses.

Do not use APA expense notes as a substitute for contract information, and do not use contract documents as a substitute for APA reconciliation.

Contract files and commercial details can be sensitive. Only upload files to the correct charter and avoid sharing screenshots or documents outside your approved process.

Result

The charter contract information is recorded or updated and can be reviewed before the charter is closed.
