Archive or Restore Crew Members
Goal: Understand when a crew member should be archived and how to find archived records later.
Before you start
- Confirm that the crew member should no longer appear in the active working list.
- Check whether the crew member still has an active contract or open operational work.
- You must have permission to archive or restore crew records if those actions are available.
Find archived crew
From Crew, open Crew Members.
Use the Archived filter
Select Archived from the quick filter.
Open the record if needed
Open the crew member to review historical information.

Former crew vs archived crew
Former crew are crew records without an active contract. They may still be useful for past employment history, old contracts, previous certificates, retained documents, and historical operational records.
Archived crew are records moved out of the active working list. Archiving is useful when the record should no longer appear in everyday crew management, but may still need to be kept for reference.
Use former crew status when the crew member no longer has an active contract but the record should still be easy to find.
Use archive when the record should be removed from the normal active list.
Archive a crew member
The exact archive action depends on the setup available in your app.
Before archiving, check:
- The crew member is not currently on board.
- The active contract has been reviewed.
- Required documents and certificates have been saved.
- The record is not needed for current planning.

Restore a crew member
If restore is available, use the Archived filter to find the record and then use the restore action.
After restoring, review the contract, rank, boarding status, documents, and permissions before treating the crew member as active again.
